Development Manager

Essential Duties and Responsibilities

The Development Manager supports this mission by providing management assistance and coordination on a wide variety of development projects (in particular Construction Building Projects – redevelopment, office, industrial, retail).

Essential Duties and Responsibilities include but are not limited to the following:

  • Provides development support throughout all project phases (project due diligence, loan packages, site acquisition, contracts, programming, design, financing, construction, leasing/marketing)
  • Liaisons with city and other governmental officials, including organizing and attending meetings as required to resolve outstanding matters.  Follows through with all pertinent parties to ensure that appropriate action on pending matters is done as required
  • Assist in the coordination of zoning matters with appropriate consultants, legal and governmental bodies
  • Ensures all plans and required submittals are processed with the appropriate government body and follows through to obtain necessary approvals. Track progress of these submittals to receipt of required approvals
  • Coordinates schedules and attends to architectural design/schedule matters and follows through to ensure required action is done as required
  • Responsible for the coordination of land surveys, easements, etc. and works with surveyors, engineers etc. to ensure work is done as required
  • Assists in the interviewing and selection of outside consultants
  • Interviews and selects general contractors, subcontractors, and other similar 3rd party vendors
  • Prepares and solicits bids for a variety of development contracts
  • Coordinate environmental reviews and remediation efforts on various development projects
  • Monitors and coordinates the work effort of all project architects, engineers, and consultants to ensure their scope of work is in conformance with the project budget, schedule and development guidelines
  • Perform detailed financial analysis including the creation of financial models that include IRR, ROE, ROA, CF and waterfall calculations.
  • Coordinates draw submittal with accounting

Other duties may include:

  • Monitors construction activity and schedule. Visits project sites, as appropriate, with Development Partner for the purpose of understanding project schedule and budget as it relates to the overall partnership interests
  • Prepare weekly reports regarding the status of each development including status of construction, cost variances, unresolved items, and other project related reports. Includes photographs as appropriate
  • Maintains all project records per the Holladay’s record keeping system
  • Monitors project closeout process including contract closeouts, punch list and final payments.
  • Reviews monthly draw for conformance with Operating Agreement requirements
  • Aware of the sales and marketing activities, and understands how these relate to status of construction

Qualifications

  • Bachelor’s degree required
  • Basic knowledge of financial principals
  • Previous Real Estate experience, with some knowledge of real estate project cycle preferred
  • Excellent computer skills, with emphasis internet research and Microsoft office products
  • Familiarity with the local permitting process, knowledge of how to work with the Department of Economic Development, Building Department, and other appropriate City departments
  • Good organization, communication, and administration skills
  • Good oral, written and interpersonal skills
  • Ability to perform under pressure
  • Able to work with people at all levels
  • Ability to prioritize work assignments and adapt to changing priorities

Compensation:

The Development Manager compensation will be based on experience and qualifications.  This range is subject to local, state and regional dynamics and may be adjusted up or down depending on market conditions.

Physical Demands:

  • Associate is required to walk multiple premises which can require climbing stairs to inspect stairwells and be in high spaces, such as roof to inspect equipment if necessary.

Landscape Laborer

Enriching lives through investment and service is the mission at the core of everything we do at Holladay. The Landscape Laborer supports this mission by the upkeep of assigned properties by always enhancing and maintaining the property’s peak appearance. Additionally, the Landscaper may Provide support to other on-site staff personnel to complete any assigned tasks on properties.

Essential Duties and Responsibilities include but are not limited to the following:

  • Hand mowing, tractor mowing. Turf to be kept at uniform height and mowed at uniform and acceptable speed.
  • String trimming—trim around all areas that mower can’t cut. Trim to the same height as mower or 1” lower.
  • Edging—edge all sidewalks and curbs 1 time per month.
  • Mulch application-cutting mulch basins, applications of mulch and any task associated with mulch on properties
  • Blowing—blow off all patios, driveways, parking lots, curbs, streets, loading docks.
  • Weekly maintenance of beds. Pull weeds, deadhead flowers (replace if needed) and police the grounds for trash.
  • Pruning, as needed, by cutting ornamental shrubs to a uniform height. Hand prune all ornamental shrubs as needed and deadwood all shrubs during each visit, as needed
  • Replacement of plant material, as needed
  • Removal of weeds in curb edges, sidewalk edges, beds during each visit to property
  • Work with Supervisor for completion of lawn fertilization
  • Work with Supervisor for completion of lawn herbicides-insecticides
  • Maintenance and care of equipment at the end of each day.
  • Daily and weekly maintenance of Landscape vehicles
  • Work with crew to complete irrigation repairs and installation
  • Installation of new landscaping around new and existing buildings
  • Perform all work related to snow removal and ice management which includes but not limited to shoveling, salting, plowing and all procedures related to weather related control measures
  • 24 hours on call duty for snow events

Essential Duties and Responsibilities include but are not limited to the following:

  • Enter and maintain lease information for residential tenants into the accounting system
  • Track variance reports monthly for tenant income and monitor rent rolls for proper charges
  • Assist residential property managers with Yardi rent café
  • Monitor and verify that residential leases are uploaded and entered correctly
  • Track tenant insurance and send out insurance notifications
  • Deposit and/or post all check and ach payments promptly and accurately
  • Provide accounts receivable aging reports twice monthly and on demand
  • Enter all charges including recurring monthly items
  • Send out monthly statements and rent invoices to tenants
  • Follow up with tenant accounting related inquiries
  • Complete monthly bank reconciliations
  • Process and track all tenant and intercompany billbacks including creating charges, invoices and follow up
  • Assist with Monthly and Annual reports
  • Assist with property tax updates including tracking annual increase/decrease and working with accounts payable to process payments
  • Verify that tenant paid property taxes are sent to tenants timely and paid before the due date
  • Record mortgage loans, track principal balances and update spreadsheet; alert when maturity dates draw near
  • Monthly security deposit accounts true up
  • Prepare initial budgets for all properties annually including leasing forecast calculations
  • Suggest, assist, and implement changes in the accounting and leasing processes to streamline and update
  • Other duties as needed including special projects for the CFO, Controller, Accounting Manager and Sr Accountant.

Essential Duties and Responsibilities include but are not limited to the following:

  • Repairs, installs, replaces and maintains machinery, mechanical equipment, electrical equipment, fixtures, appliances, plumbing, tools and building materials
  • Replaces light bulbs where and when needed
  • Complies with life safety codes for the facilities and equipment required at all locations
  • Has knowledge of pertinent laws, EPA and OSHA regulations governing proper storage and management of hazardous materials.
  • Provides preventive maintenance on agency vehicles and equipment
  • Provides on-call coverage on a rotational basis as needed
  • Conducts visual inspections of boiler rooms, other equipment rooms and grounds
  • Has knowledge and understanding of the agencies internal and external customer needs and is committed to meeting or exceeding those expectations
  • Has a high level of knowledge of building maintenance
  • Able to read and understand blueprints, fire control, life safety and security
  • Comfortable working with machinery and mechanical equipment
  • Answers service calls, as required
  • Completes assigned preventative maintenance
  • Completes logs and enters work orders completed
  • Has daily contact with tenants and the general public and is able to interact with them in a professional manner
  • Possess strong communication skills and provide excellent customer service
  • Able to work with multiple types of software to enter necessary data for management of buildings
  • Dealing with problems involving several concrete variables in standardized situations
  • Handling and operating hand tools, power tools and motorized lawn equipment
  • Typing and basic computer usage

  • Performs fire pump and other safety inspections on a regular schedule
  • Conducts visual inspections of boiler rooms, equipment rooms, grounds and all aspects of the physical structure.
  • Responsible for following all organization and department precautions and procedures in the performance of all duties to ensure a safe work environment for self and others
  • Makes efficient use of work time to accomplish assignments as well as the ability to accept or respond to change in the work environment in a way that promotes the organizations goals and objectives

Qualifications

  • Strong knowledge of leases, contract terminology, contract law and the real estate business in general is required
  • Must have the ability manage multiple projects and meet crucial deadlines
  • Ability to communicate effectively with in different capacities throughout a day
  • Strong organizational and writing skills necessary for success
  • Flexibility is a must in this position because an ordinary day can change very quickly
  • Previous experience as a paralegal, or other similar role, preferred
  • Strong computer skills, specifically with Microsoft Office package required
  • Good oral, written and interpersonal skills
  • Position requires regular day travel from corporate office to properties throughout the region
  • Valid Drivers license, proof of insurance, and a MVR report acceptable to the companys liability insurance carrier

Compensation:

The Commercial Maintenance Technician compensation will be based on experience and qualifications. This range is subject to local, state and regional dynamics and may be adjusted up or down depending on market conditions.

Physical Demands:

  • Must have a valid drivers license

Enriching lives through investment and service is the mission at the core of everything we do at Holladay. The Property Manager supports this mission by working closely with portfolio manager in the daily operations and maintenance of a portfolio of 1 – 2 commercial office buildings within a specific market.  This position will provide support to portfolio manager in the gathering of information and the analysis of operating metrics as well as the preparation of annual budgets for the managed properties.

Essential Duties and Responsibilities include but are not limited to the following:

  • Responsible for the prompt and positive response to requests from tenants, to constantly assess tenant and facility needs and assure problems are being solved promptly, and to the mutual benefit of the tenant and ownership, including preparing, dispatching and tracking tenant work orders/requests and service needs
  • In coordination with portfolio manager, supervise Building Maintenance Staff and additional Property Management employees and contractors and ensure that procedures and specifications are maintained
  • Provide ongoing performance feedback to employees on a regular basis and participate in Talent Conversations with portfolio manager
  • Review Rent Roll and Lease-up Billings to ensure that they are both current and accurate
  • Review all monthly, quarterly, and annual financial reports with support from portfolio manager as needed
  • Maintain notes in operational platform software (MRI/Yardi/ETS/ReLynx) related to A/R delinquencies, monthly variance explanations, corrective and preventative maintenance orders and, other needed updates
  • Process, prepare and track all vendor contracts
  • Ensure all tenant and contractor Certificates of Insurance are kept current
  • Ensures that property files and records are maintained
  • Approves expenditures in accordance with Company and/or Client policy and procedures
  • Prepare and/or supervise presentation of quarterly newsletter or other forms of tenant communication
  • Maintain orderly files (Vendor and Tenant) in accordance with Company policy and procedure
  • Develop and maintain ongoing tenant interaction on a weekly basis
  • Continually improve upon management and technical skills
  • Minimum of 2 years of experience in Commercial Property Management
  • Bi-lingual (English & Spanish) depending on location

Physical Demands:

  • Employee is required to walk the premises which can require climbing stairs to inspect stairwells, and be in elevated or high spaces, such as roofs and decking to inspect equipment if necessary
  • Employee may occasionally be required to lift or move items over 10 pounds
  • On call 24/7 in emergency situations at properties

Supervisory Responsibility:

  • Property Manager may have supervisory duties of maintenance engineer and with support from portfolio manager
